Adding a Post Order

 

In this article, we will go over how to add a Post Order, how an m-Post or desktop User can view and acknowledge a new Post Order, how to edit a Post Order, how to copy a Post Order to another Post, and how to see a Post Order Viewed/Acknowledgement History. 

How to Add a Post Order

To add a Post Order:

1. Log onto your Guardtek web portal.

2. Select the Property Location to add a Post Order in the upper right-hand corner drop-down.

3. Once you have verified/selected the Property Location, hover over the Post Order Module and click Add New Post Order.

4. Click the green Add New Post Order button at the upper right-hand corner of the Post Order page.

 5. In the Post Order pop-up box, use the drop-downs and fill in the Post Order setup fields:

Language (1) - Select the language preference. If you have users with various language preferences, create a Post Order for each language.

Overall Classification (2) - Choose between Safety related or Security related. Depending on the Overall Classification chosen, the Category drop-down menu will also change to reflect Safety or Security options.

Type of Order / Standard (3) - Choose between Standing Post Orders and Passdowns. The differences are that Standing Post Orders remain in the system indefinitely, and Passdowns will have an expiration date and time. 

To set the expiration date and time of the Passdown, click the green calendar icon and select the date on the pop-up calendar, then click the field on the right of the green calendar icon and type in the expiration time in the 24-hour format hh: mm.

Category (4) - Depending on the Overall Classification chosen, the Category options will vary.

Subject (5) - In the Subject filed name the Post Order.

Permission Level (6) - Set the permission level to control which users can edit this Post Order. Those with a lower permission level can only view the post order.

Labels (7) - You can classify multiple Post Orders with a Label to make it easier to sort through. To create a Label, click the blue Edit labels link, and in the pop-up box, name the label and hit enter or the green Add button. Add multiple labels and then click the green Save button.

The Labels will now appear in the Labels section of the Post Order page:

Effective Date / Time (8) - The Effective Date / Time automatically defaults to populate when the Post Order is created. 

You can change the date and time a Post Order goes into effect by clicking the green calendar icon, selecting the date, then clicking the time field, and changing the hh: mm format to the desired time.

To be acknowledged in (9) - Set the days you want the User(s) to acknowledge the Post Order within. For example, if you wish the User(s) to read and acknowledge an important new safety bulletin, you would want to add 1 in this field. After one day, it will be noted that they are late to acknowledge the Post Order.

6. Once all the required fields have been selected and populated, the next step is to create the body of the Post Order.  

You will have three options to add a Post Order:

  • Insert PDF
  • Write Text
  • Instruction Video

The Write Text circle is the default, and you can manually write the post orders or cut and paste them from another document into the blank document field. 

You can add a header to the Post Orders by clicking the Include Header box.

To add the Post Orders as a PDF file, click the Insert PDF circle, and in the pop-up, click the Choose File button, upload the PDF, and click the green Upload File button.

To add the Post Orders as a video, click the Instruction Video circle, then the Attache a video file link. In the pop-up, click the Choose File button, upload the video file, and click the green Upload File button.

7. Once the Post Orders have been added, click the green Update button at the bottom right-hand corner.

NOTE: You can only use 1 of those three options simultaneously. You cannot have a video, a PDF, or other combinations.

8. Clicking the Update button will take you to the Current Post Assignments page. Here, you will have the option to add the Post Order to additional Posts. 

To add the Post Order to additional Posts, click on the box of the Property Location name in the far right column. To add the Post Orders to all the property locations, click the box in the header column. 

Click the green Update button once the Post Order has been assigned to the desired property locations.

Your Post Order will now appear on the Post Orders home screen.

How an m-Post User Can View and Acknowledge a New Post Order

Once a new Post Order is added and the active date and time are reached, the m-Post User will receive a notification that a new Post Order is to be viewed and acknowledged.

To view the Post Order on m-Post:

1. Tap the Post Order notification:

NOTE: iOS m-Post users will be taken to the Post Orders tab and need to tap the Post Order listed in the NEW section:

2. Depending on how the Post Order was set up, the m-Post User can view the Post Orders, tap on View PDF file, or tap on the Video file.  

In this example, the Post Order was set up as a PDF file:

3. Tap the Acknowledge button once the Post Order is read or viewed.

How a Desktop User Can View and Acknowledge a New Post Order

Once a new Post Order is added and the active date and time are reached, the desktop User will receive a notification that there is a new Post Order to be viewed and acknowledged.

To view the Post Order on the desktop version:

1. Click the Post Order notification icon at the upper right side of the GuardTek web portal home screen:

2. Depending on how the Post Order was set up, the m-Post User can view the Post Orders, tap on View PDF file, or tap on the Video file.  

In this example, the Post Order was set up as a PDF file:

3. Once the Post Order is read or viewed, click the Acknowledge Instruction button.

 

How to Edit and Manage a Post Order

To Edit a Post Order:

1. Log onto your Guardtek web portal.

2. Select the Property Location to add a Post Order in the upper right-hand corner drop-down.

3. Once you have verified/selected the Property Location, hover over the Post Order Module and click Post Orders.

This will take you to the list of Post Orders created for the Post. Nine things can be viewed, managed, or edited:

In the Subject column (1), Click the green eye icon to view the Post Orders.

In the Labels column (2), click the clipboard/pencil icon to add or remove Edit labels. To add a Label, click the green Add button. To remove a Label, click the grey X on the right-hand side of the blue Label name:

The green check mark in a circle or red X circle in the Currently in Effect for this Site (3) column is a status view and cannot be edited on this page.

3. Click Add Post Order to add a new post order if you do not see one to edit.

How to see a Post Order Viewed/Acknowledgement History

To see a Post Order Viewed/Acknowledgement History:

1. Log onto your Guardtek web portal.

2. Select the Property Location to add a Post Order in the upper right-hand corner drop-down.

3. Once you have verified/selected the Property Location, hover over the Post Order Module and click Add New Post Order.

This will take you to the list of Post Orders created for the Post.

Clicking on the grey card in the History column (4) will show who has viewed and acknowledged the Post Order and when:

How to Copy a Post Order to Another Post

To Copy a Post Order:

1. Log onto your Guardtek web portal.

2. Select the Property Location to add a Post Order in the upper right-hand corner drop-down.

3. Once you have verified/selected the Property Location, hover over the Post Order Module and click Add New Post Order.

This will take you to the list of Post Orders created for the Post.

Click the box in the Copy column (5) for the Post order you want to copy, then click the green paper icon in the Copy header.

How to Edit and Manage a Post Order - Continued

To assign the Post Orders to additional property locations, click the green building icon in the Post Assignments (6) column. In the pop-up box, you can select the Posts to which you want to add the Post Orders. 

You can select the Posts individually or all by clicking on the top box in the column's header.

To un-select a Post, click the blue check mark so the box is blank.

Once all the desired Posts are selected, click the green Update button at the bottom.2023-gt-us-img

To manage who can see the Post Orders, click the green padlock icon in the Authorizations (7) column.

You can manage each User role in the Show Post Order column in the pop-up box.

A green check mark indicates the User is Authorized to view the Post Orders.

A Red X circle indicates the User is not authorized to view the Post Orders.

To change the user Authorization, click on the icon, and it will change to the other Authorization option.

To Manage and edit the Post Order as it is currently set up, click the green pencil icon in the Edit (8) column. This will take you to the Post Order setup page. (see step 5 in the How to Add a Post Order subheading above.)

Once all edits have been made, click the green Update button at the bottom right-hand corner.

To delete a Post Order (9), click on the box on the far right-hand side in the green trashcan icon column. Clicking the green trashcan icon with a Post Order checked will prompt a verification pop-up:

To continue deleting the Post Order, click OK. This will remove the Post Oder(s) from all sites it was assigned to.
