In this article we will go over differences between a Template and an Incident Template and some guidelines for choosing the best option for your operation.
GuardTek’s Activity Templates and Incident Templates allow you to create custom forms for employees to fill.
These can be used for everything from security-related incident forms to a daily activity log to just about anything you can think of!
You'll have two types of forms to choose from, including Activity Templates and Incident Templates.
There are two primary differences, including:
1. The option to schedule reports for completion.
2. The formats available for exporting a report.
Scheduling Reports
Activity Templates will allow you to schedule reports to be completed at specific times. Incident Reports cannot be scheduled.

A popup will appear on the user’s m-Post screen that will notify them of a scheduled activity 15 minutes prior to the scheduled time.
Export Formatting
When you export an Incident Report, the PDF report will have a Red label in the top right corner. Incident Reports will have a slightly more pronounced appearance in the Logbook view of the report.
On the other hand, Activity Templates will include a blue theme with an Activity notation at the top of the report page.
Choosing the Best Option for Your Operation
As mentioned at the beginning of this article there are various use cases for both types of templates. When decided which to use, it is best to think of Activity Templates for regularly occurring events. Some examples may include:
- Inspections
- Daily/Hourly Activity Logs
- Equipment Testing
- Ingress and Egress Logs
Where an Incident Template may be better suited for reporting unexpected events or hazards. Some examples may include:
- Parking Violations
- Slip/Fall
- Power Outage
- Vandalism
- Water/Gas Leak
- Theft
- Trespassing
