Creating Shift Offers

In this article, we will go over how to create shift offers.

 

How to Create a Single Opening Shift Offer

To Create a Single Opening Shift Offer:

1. Log onto the Trackforce Valiant web portal as an Admin or Supervisor

2. Hover over the TLM module and click Business Unit in the Schedule Maintenance section.

3. Click the Schedule Details in the Actions column of the Business Unit you wish to create the shift offer.

4. Click on the three horizontal dots at an open shift's right-hand corner and then Create Shift Offers in the drop-down menu.

5. In the Assignment Type field, click the drop-down menu and choose if the shift is Permanent or Temporary.

Then there are five sections to fill out for a single shift offer:

NOTE: The shift offering will be displayed in the hierarchy it is being created in on the right-hand side of the page in a box titled Create Shift Offers with a yellow information icon. 

 

Schedule Requirements (1)

Under Location, you can select Anywhere to offer the shift opening to employees living anywhere, or you can click Within and type in a mile radius of a zip code to provide the shift opening to only employees residing in that radius.

NOTE: Employees must have a valid address on file.

Next, click the checkboxes of any specific criteria for the shift offering.

Once you've selected your parameters, click Apply.

This will display the list of employees to send the offer to in the Choose Employees (3) section.

NOTE: If you do not select any schedule requirements, all your employees will be listed in the Choose Employees section.

Auto Approval (2)

You can click the Auto Approval checkbox for employees who have not hit their Maximum Hours and add Work History by Customer, Location, or Position and having worked at a specific Customer, Location, or Position within a specific Look Back Period for employees accepting an offer.

Note: Using Auto Approvals will automatically approve and assign employees to the shift on a "first come, first serve" basis if they fit the criteria selected.

Choose Employees (3)

NOTE: You can Select All Employees or search for a specific employee.

Scroll through the list of employees and click the checkbox of the employees who have met the criteria for the shift offer. 

To send the offer to all employees who have met the criteria for the shift offer, click the First Name checkbox.

Add a Message (4)

The Add a Message field allows you to add a message specific to the shift offers. i.e., pay amount, lifting or stand requirements, additional uniform requirements, etc.

Reminder Frequency (5)

The reminder frequency allows you to select the expiration of the offer to be excepted at 1 - 24 before the start of the shift or at the shift start.

6. Once the desired fields have been filled out, click the green Create and Send button at the bottom right-hand side of the page.

7. A green SUCCESS Pop up banner will let you know the shift opening has been created and sent to employees that fit your criteria.

8. The Open shift will also change from a solid red outline to a broken red line outline, saying PUBLISHED OFFER.

How to Create a Shift Offer by Customer, Location, or Position

To create a shift offer by customer, location, or position:

1. Log onto the Trackforce Valiant web portal as an Admin or Supervisor

2. Hover over the TLM module and click Business Unit in the Schedule Maintenance section.

3. Click the Schedule Details in the Actions column of the Business Unit you wish to create the shift offer.

4. Click the three vertical dots in the upper right-hand corner of the Customer box, the Location box, the Position box, or the Shift box.

The Create Shift Offers option will appear in all drop-down menus. Click Create Shift Offers.

5. In the Assignment Type field, click the drop-down menu and choose if the shift is Permanent or Temporary.

Next, click the checkboxes of any specific criteria for the shift offering.

NOTE: Creating shift offers at the Customer, the Location, the Position, or the Shift level creates multiple shifts, and therefore the system does not recognize each employee's availability. 

Therefore, the Apply button is greyed out; nothing happens if you click it. However, all the criteria will automatically be applied when you click Create and Send.

Employees who receive an offer are automatically chosen based on availability and the parameters set above for grouped offers.

7. (Optional) Auto Approval

You can click the Auto Approval checkbox for employees who have yet to hit their Maximum Hours and add Work History by Customer, Location, or Position and having worked at a specific Customer, Location, or Position within a specific Look Back Period for employees accepting an offer.

8. You do not need to do anything in the Choose Employees section.

9. (Optional) Add a Message
