Creating a New Smartforce Location

This article will explore creating a new Smartforce location in the TLM module.

 

How to Create a New Smartforce Location at the Customer Level

NOTE: While setting up a Business Unit hierarchy, you can add each lower level from the level above it.

To create a new Smartforce location at the customer level:

1. Add a new customer - see the Help Center article Creating a New Smartforce Customer

2. Once the new customer has been added and saved, click on the Locations option in the Additional Attributes section of the Main Form on the left-hand side of the page.

3. On the customer page, click the Actions drop-down menu at the upper left side and click Create New.

How to Create a New Smartforce Location

To Create a New Smartforce Location

1. Log onto the Trackforce Valiant web portal as an Admin or Supervisor.

2. Hover over the TLM Module and click Location in the Schedule Maintenance section.

3. Click the Actions drop-down menu in the upper right-hand corner and select Create New.

4. Assign the new customer to a Business Unit by clicking the drop-down button.

5. Click on the Business Unit Name you want to assign the new customer to and click the Select button at the bottom right-hand corner of the pop-up window.

6. 11 sections of location information can be added on the Location page. 

NOTE: Mandatory fields are indicated by a red asterisk mceclip7.png

Main Details

Expand the Main Details (1) section and fill out the appropriate or desired fields.

NOTE: It is recommended as a best practice when creating a Location Name to include a part of the Customer name. For example, ABC Phones has 10 Locations - a recommended Location would be ABC - 123 Main.

General Details

Expand the General Details (2) section and fill out the appropriate or desired fields.

Address Details

Expand the Address Details (3) section and fill out the appropriate or desired fields.

NOTE: Adding an address is not mandatory. However, you must use the drop-down menu and add a State even though it is not indicated as mandatory by a red asterisk. mceclip7.png

If a State is not added in the Address Details section, you will get an orange WARNING banner letting you know there was a validation failure.

Cost Details

Expand the Cost Details (4) section and fill out the appropriate or desired fields.

Contact Details

Expand the Contact Details (5) section and fill out the appropriate or desired fields.

Notes

In the Notes (6) field add any appropriate or desired notes about the Location and or create, edit and show the person(s) involved in and managing the account.

Tab Options

The Tab Options (7) will default on the Punch Rules tab. Clicking on the Custom Fields tab will open a section that let's you Create, Edit and Show groups of locations together in.

Break Settings

Expand the Break Settings (8) section and fill out the appropriate or desired fields.

Geofencing

NOTE: Geofencing should NOT be enabled (Geo Fencing Enabled: checkbox) for any locations using Guardtek m-Post to punch in. This is for Smartforce only users. 

Expand the Geofencing (9) section and fill out the appropriate or desired fields to create a location geofence.

NOTE: The Geo Fencing: field range is set to "miles" from the location address.

Allow Ranges

Expand the Allow Ranges (10) section and fill out the appropriate or desired fields.

NOTE: Punch Rules will override any rules set at the Business Unit or Customer level.

Grace Periods

Expand the Grace Periods (11) section and fill out the appropriate or desired fields.

NOTE: Punch Rules will override any rules set at the Business Unit or Customer level.

7. Once all sections have been filled out as desired click the Save button at the bottom right hand side of the page.

8. A green SUCCESS banner will let you know that the Location has been successfully created.
