Smartforce Shift Quick Create Options

In this article we will go over the 3 shift quick create options at the position level and how to use the More Module to create the same shift options at the Business Unit level. 

How to Access the Quick Create Options

1. Log onto the Trackforce Valiant web portal as an Admin or Supervisor.

2. Hover over the TLM Module and click the Business Unit option in the Schedule Maintenance section.

3. Click the Schedule Details button in the Actions column of the Business Unit you want to remove a permanent shift for.

4. On the schedule details page click the 3 vertical dots on the right hand side of the position button.

5. In the position drop down menu there are 3 Quick Create options.

Quick Create - Multi Shift

To create multiple shifts simultaneously:

Click Quick Create - Multi Shift

There are 2 sub options: Around the Clock and Quick Create - Multi Shift

 

Around The Clock

NOTE: This is a standard 168 schedule.

Clicking the Around the Clock sub-option will pop-up a window that will have the Customer, Location, Position and the Week selected pre-populated.

The Shift Times can be selected in 3 - 8 hour shifts by clicking the drop down menu.

The Shift Type will default to Permanent but can be made Temporary by clicking the drop down menu. 

The No. of Openings per Shift: field will default to 1 but multiple openings can be added by clicking the drop down menu.  

The Days for Coverage will default to include all. 

Once all the fields are filled out as desired click the Save button at the bottom right hand corner.

A green SUCCESS banner will pop-up to let you know the Around the Clock shift was created.

Quick Create - Multi Shift

Clicking the Quick Create - Multi Shift sub-option will pop-up a window that will have the Customer, Location, Position and the Week selected pre-populated.

Start End (1)

Click the 00:00 time stamp and enter the start and end times individually in 24 military time.

Days of the Weeks (2)

Click the 0 under the day of the week you want to quick create a shift for and a field will populate.

 Type in or use the increase/decrease arrows to select the number of shifts you want to create. 

mceclip5.png (3) Click the green plus in a circle icon to add another shift.

mceclip6.png (4)  Click the red minus in a circle icon to delete a shift.

Once the shift(s) have been created click the Create Shifts button at the lower right hand corner.

A green pop-up SUCCESS will let you know that the shift(s) was created.

Quick Create - Single Shift

Pre-Populated 8 Hour Shifts

Clicking the Quick Create - Single Shift will give the option to click on one of 7 pre-populated 8 hour shifts or give you the option to create a Custom shift.

Clicking on on of the pre-populated 8 hour shifts will pop-up a window that will have the Shift, Customer, Location, Position and the Week selected pre-populated.

Custom

Clicking the Quick Create - Single Shift - Custom shift will pop-up a window that will have the Customer, Location, Position and the Week selected pre-populated.  

The mandatory fields will be indicated by a red asterisk mceclip0.png (Start Shift, Shift Duration Hours and Shift Duration Minutes)

The Shift Type will default to Permanent but can be made Temporary by clicking the drop down menu. 

The No. of Openings per Shift: field will default to 1 but multiple openings can be added by clicking the drop down menu.  

The Days for Coverage will default to include all. 

Once all the fields are filled out as desired click the Save button at the bottom right hand corner.

A green pop-up SUCCESS will let you know that the requested new shift(s) was created.

How to Create Quick Shifts at the Business Level Using the More Module

To create quick shifts at the business level using the More module:

1. Log onto the Trackforce Valiant web portal as an Admin or Supervisor.

2. Hover over the TLM Module and click the Business Unit option in the Schedule Maintenance section.

3. Click the Schedule Details button in the Actions column of the Business Unit you want to remove a permanent shift for.

4. On the Schedule Details page click the More drop down menu at the upper right hand corner of the page.

5. In the More drop down menu you can access the Quick Create options at the Business level.

NOTE: The difference between accessing the Quick Create options through the Position level is that the Shift, Customer, Location, and Position are are pre-populated and when using the More drop down option (Business level) is that you will need to add the Customer, Location, and Position for the shift being created.
