In this article we will go over how to add and manage forbidden employee in the additional attributes section of the customer profile.
The forbidden employees feature is designed to allow you to mandate that a specific employee is never allowed to work for a specific customer. This typically results from customer complaints about a specific employee.
How to Add a Forbidden Employees
To add a forbidden employee:
1. Log onto the Trackforce Valiant web portal as an Admin or Supervisor.
2. Hover over the TLM Module and click Customer in the Schedule Maintenance section.
3. Click on the customer you want to manage the forbidden employee settings for.
4. In the Main Form section at the left hand side of the page click Forbidden Employees in the Additional Attributes sub-section.
5. Click the Create New button at the top left hand side or click on the Actions drop down arrow and select Create New.
6. Fill out the 5 fields of information as it applies to the customer and the employee that is to be forbidden:
Customer: (1)
If the customer field is already populated skip to the Location field.
Click the Customer field if it is already not populated with the customer.
NOTE: Do not click the create button.
Click the customer and then click the Select button at the lower right hand side of the pop up window. This will populate the customer field.
Location: (2)
Click the Location field. In the pop up window click on the desired location and then click Select button at the lower right hand side of the pop up window. This will populate the location field.
NOTE: Do not click the create button.
Employee: (3)
Click the employee field or the drop down arrow. In the pop up window click on the desired employee and then click Select button at the lower right hand side of the pop up window. This will populate the employee field.
Actual Date: (4)
The actual date will pre-populate to the current date. If you need to set a date that the employee is forbidden to work for this customer you can manually change it by clicking on the calendar icon at the right of the actual date field.
Reason: (5)
Click on the Reason field and add the reason that this particular employee is forbidden to work for this customer.
Most commonly, "Client Request" is sufficient.
7. Once all the fields have been properly filled in click the Save button at the lower right hand side of the page or click Save & New to add additional employees that are forbidden to work for this customer.
8. A green pop up SUCCEESS banner will let you know that the forbidden employee has been successfully created.
How to Manage Forbidden Employees
To manage forbidden employees:
1. Log onto the Trackforce Valiant web portal as an Admin or Supervisor.
2. Hover over the TLM Module and click Customer in the Schedule Maintenance section.
3. Click on the customer you want to manage the forbidden employee settings for.
4. In the Main Form section at the left hand side of the page click Forbidden Employees in the Additional Attributes sub-section.
5. Right click on the customer and click the Edit option in the drop down menu.
6. On the Forbidden Employees page you can now view the current settings, edit them, change the forbidden employee or deactivate the forbidden status of the employee.
7. Once any edits and changes have been made click the Save button at the bottom right hand corner of the page.
If you have multiple forbidden employees for a customer you can edit multiple employees by clicking Save and Next.
8. For each forbidden employee that is edited or changed a pop up SUCCESS banner will indicate the save was successful.
Verifying a Forbidden Employee
To verify an employee is forbidden from working for a specific customer:
1. Log onto the Trackforce Valiant web portal as an Admin or Supervisor.
2. Hover over the TLM Module and click Customer in the Schedule Maintenance section.
3. Click the Schedule Details button of the customer you want to check the forbidden employee for.
4. Right click on an open shift and click Assign Employee.
5. Regardless of the filters selected or unselected the forbidden employee will not appear on the list.
