Smartforce Managing Scheduling Options and Features

In this article we will go over the Scheduling Options and Features sub-section of the Business Unit TLM section in the Company module. 

How to Manage the Scheduling Options and Features

To manage the Scheduling Options and Features:

1. Log onto your Trackforce Valiant web portal as an Admin or Supervisor.

2. Hover over or click on the Company module and click Scheduling Options And Features in the Business Unit TLM section.

3. Select the Business Unit by right clicking on it and the click the Show option from the pop-up options.

4. Click on the Edit button at the bottom right hand corner.

5. This will open the drop down menus and checkboxes for the scheduling options and features.

Scheduling Options and Features: Main Explained

Scheduling Option: For all clients, this should be set to ScheduleOnly.  In extremely rare cases, if a client isn't using our scheduling platform but wants employees to punch in from a clock, you can select TimeEntryOnly.

Clock Mode: This drop down menu sets which type of clock setup they are using.  All should be set to Simple Clock.  Advanced allows for the employee's schedule to be pushed to the clock, but can make punching in difficult if schedule changes have been made before the employee attempts to punch.

Mobile Punch Allowed: This box is checked by default.

Broadcast Schedule Allowed: Checking this box allows for SMS texting messages to be sent from the business unit view of the schedule.

Send Schedule Reminder: Checking this box allows for schedule reminders to be emailed to employees.  Please know this is an untested feature of the system and has not been enabled for any clients.

Request Shift Removal: Checking this box allows for employees to request to be removed from a shift. 

 

Scheduling Options and Features: Integration Explained

The integration with Trackforce will be indicated as Trackforce Sync Enabled: Yes or No.

If it is listed as No and you want to enable Trackforce sync click on the Edit button at the bottom right hand corner and click the Trackforce Sync Enable: checkbox

If it is listed as Yes and you want to disable Trackforce sync click on the Edit button at the bottom right hand corner and unselect the Trackforce Sync Enable: checkbox

6. Once the desired selections have been made click the Save button at the bottom right hand corner.

 

NOTE: Clicking on the Trackforce Sync Enabled: checkbox and clicking the Save button at the bottom right hand corner will immediately send over customers to Trackforce.  This should only be selected after the customer has been completely configured.
